Membership

Induction

New candidates are inducted during the Fall and Spring semesters. For the Fall semester, eligibility is determined based on GPAs and unit counts from the preceding Spring. Similarly, for the Spring semester, eligibility is assessed using GPAs and unit counts from the prior Fall. The list of qualified candidates is provided by the counselors, and exceptions cannot be accommodated. Those who meet the criteria outlined below will receive an invitation email before the first week of the semester.

Undergraduate Requirements

  • Rank in the upper 35% of your class
  • A cumulative GPA of at least 3.0 out of 4.0, across all college work completed so far
  • At least 45 semester hours of college work completed, including at least 15 semester hours in basic computing and information courses
  • Enrolled in Computer Science, Data Science and Analytics, Information Technology, Software Engineering, Computer Game Design & Development, Information Systems, or Cyber Security

Staying Involved After Induction

  1. 1. Become an Officer

    Officers have specific roles that outline their responsibilities for the club. Much of the work for UPE involves organizing events to support KSU computing and information students in succeeding academically and advancing their careers. Officers are also required to attend weekly meetings, which typically last about 30 minutes, to provide updates. They are expected to dedicate approximately two hours per week, or as much time as necessary to complete their assigned tasks, in addition to participating in tutoring sessions over winter break. Perks of being an officer include attending an officer retreat, networking with top-performing students, and enjoying fun social events throughout the year!

    How the board is organised

    The board runs as five committees. The Executive Committee oversees the other four: the Internal Vice President keeps Induction and Media to their deadlines, and the External Vice President does the same for Finance and Admin.

    Executive Committee

    • Lead the chapter's vision, goals and standards while upholding UPE values and academic excellence
    • Represent the chapter to UPE National, university leadership, faculty advisors and external partners
    • Preside over meetings, oversee the executive board, and ensure accountability and professionalism
    • Maintain national compliance, manage membership reporting, and lead formal induction ceremonies
    • Enforce ethical conduct, resolve conflicts, and build systems for leadership transition and long-term sustainability
    External Vice Presidentopen
    • Serve as the Reservation Delegate for all chapter events requiring room or space bookings
    • Coordinate with university offices to secure and confirm event locations and approvals
    • Assign the Point of Contact or card access to whoever is leading each event
    • Keep the Finance and Admin committees accountable for assigned tasks and deadlines
    Internal Vice Presidentopen
    • Keep the Induction and Media committees accountable for assigned tasks and deadlines
    • Track progress and give the executive board regular status updates
    • Support committee leads with resources, guidance and problem-solving
    • Maintain a central schedule of reservations and external commitments in the chapter calendar
    • Follow up on action items to keep execution consistent

    Induction Committee

    Induction Chairopen
    • Identify and verify eligible candidates with faculty and to UPE National standards
    • Manage induction records, submit rosters and fees, and order certificates, pins and materials
    • Plan and run the induction ceremony, including script flow, roles, logistics and setup
    • Act as the primary point of contact for inductees, sharing invitations, resources and next steps
    • Ensure the ceremony and membership process meet UPE protocol and quality standards
    Membership Chairopen
    • Track inductee progress so every membership requirement is completed on time and documented
    • Maintain accurate membership records and status updates for the board and UPE National
    • Assist the Induction Chair with verification, communication and ceremony preparation
    • Serve as the primary support to the Induction Chair for logistics and coordination
    • Follow up with new members on next steps, engagement and chapter involvement

    Finance Committee

    Fundraising Chairopen
    • Plan and run the chapter's fundraising efforts.
    Financial Chairopen
    • Manage the chapter's budget, dues and payments.

    Media Committee

    Design & Media Chairopen
    • Oversee all visual content and brand consistency across the chapter's platforms
    • Design promotional flyers, graphics and digital marketing materials for events
    • Edit and produce recap videos of events, milestones and achievements
    • Manage content scheduling and keep posts consistent and high quality on every social account
    • Work with the executive board so visuals and media match the chapter's goals and branding
    Communications Chairopen
    • Handle all official email to members and inductees
    • Send timely messages about upcoming events, meetings and announcements
    • Keep members and inductees informed about deadlines, requirements and updates
    • Maintain organised communication records and distribution lists
    • Work with the executive board to keep messaging accurate and professional everywhere
    Photographer Chairopen
    • Photograph chapter events and supply images for the gallery and recaps.

    Admin Committee

    Historianopen
    • Maintain and organise the chapter's Google Drive so folders and documents stay structured
    • Archive and upload all meeting minutes promptly
    • Collect, store and categorise photos and media from events for the historical record
    • Keep member spreadsheets and tracking sheets accurate and up to date
    • Preserve the chapter's history so records stay retrievable for future leadership
    Secretaryopen
    • Distribute weekly meeting minutes promptly after each chapter meeting
    • Ensure board members complete and submit their assigned sections on time
    • Verify minutes follow the correct format, including date, time and location
    • Keep documented records accurate, clear and professional
    • Submit finalised minutes to the Historian for archiving
    How to apply for a position

    A Letter of Intent is a formal statement of your interest in a specific leadership position. It is your chance to say clearly:

    • The position you are applying for
    • Why you are interested in that specific role
    • The qualifications, skills and experience that make you the strongest candidate
    • How you plan to contribute to the growth and success of the chapter in that position

    The letter should be professional, intentional and reflective of your commitment to serving the chapter. If you are not selected for the position you wanted, do not be discouraged: your leadership potential may still be recognised, and you may be considered for another role where you can best contribute.

    You must use the UPE letterhead when applying.

    Officer Requirements

    In order to run for an officer position, the candidate must have completed their induction requirements as well as have been a member for at least a semester.

  2. 2. Become an Active Member

    Active members have the opportunity to engage with the UPE community just as much as officers but without holding a specific officer position. They are welcome to attend all social events, except the officer retreat. Active members are required to assist with a tutoring event and participate in several UPE activities during the semester. This program is designed to keep members involved in UPE while offering a lower commitment level compared to an officer role. Additionally, members must maintain active status for at least one semester to be eligible to run for an officer position or vote in officer elections.

Induction is invitation-only

You cannot apply. The counsellors give the officers the list of students who already meet the criteria, and those students are invited directly. How it works, and where to register if you have been invited.

The initiation ceremony

There is no hazing, nothing about it is secret, and your family and friends are welcome in the room. We publish the order of the evening, the pledge in full, and what every symbol means. What happens at the ceremony.
